The PFO Executive Board is made up of elected officers, the school principal, and faculty representatives. The PFO Executive Board is a dedicated team that prioritizes the needs of the school, and students, teachers and staff. We strive to foster an inclusive, supportive and friendly community for all Dewey students, families, teachers and staff.

Elected Officers

​Every Spring, we accept nominees for the following year’s PFO Officers – President, Vice President, Secretary, Treasurer, Ways and Means Chair, Classroom Representative Coordinator(s), and Raise Right (formerly Scrip) Treasurer. PFO Officers contribute to the activities and overall success of the Organization.

The first step is the nomination of candidates for the executive positions. The nomination committee consisting of the school principal, one staff member, the current Vice President, and the current Secretary of the organization oversees the nominations and elections. Next, a nomination ballot will be sent electronically to solicit nominations and the final election will take place in the month of April. ​

Elected Officer Positions (Roles and Responsibilities)

​​​

President​

  • Oversees and coordinates the activities of the Executive Board

  • Presides and facilitates PFO executive board meetings and general PFO meetings

  • Serves as the official contact, communicator, and representative of the PFO

  • Designated as an authorized signer for PFO checks, contracts, and authorizations for payment

  • Serves as ex-officio member of all committees (except the Nomination Committee)

  • Appoints the chairpersons and members of committees

  • Attends all Organization and Executive Board meetings

Vice President​

  • Works as the primary aide to the President, supports with activities related to the executive board

  • Performs the President’s duties in his or her absence

  • Carries out other duties as assigned

  • Oversees the chairpersons of standing committees as designated by the President.

  • Serves on the nomination committee

  • Attends all Organization and Executive Board meetings

Secretary​​

  • Meeting scribe at PFO Executive Board meetings and general PFO meetings

  • Drafts and finalizes meeting minutes for PFO Executive Board meetings and general PFO meetings

  • Co-signs formal papers with the President (including authorizations for payment, resolutions and formal letters)

  • Handles PFO correspondence as directed by the President

  • Maintains and preserves PFO records and important documents to pass on at the end of the term

  • Serves on the Nomination Committee

  • Attends all Organization and Executive Board meetings

Treasurer​​

  • Maintains permanent records to track funds and financial transactions

  • Prepares annual budget for adoption by PFO

  • Pays all PFO bills as authorized by PFO

  • Keeps an accurate ledger of record for purchases, receipts and disbursements

  • Prepares reports for every PFO meeting and an annual financial report

  • Ensures taxes and reports required by PFO bylaws, insurance, or federal and state governments are completed and submitted by the due dates

  • Attends all Organization and Executive Board meetings

Raise Right (Scrip) Treasurer​​​

  • Maintains permanent records to track funds and financial transactions related to Raise Right fundraising

  • Keeps an accurate record of receipts and disbursements in a ledger

  • Prepares reports for every PFO meeting and an annual financial report

  • Prepare marketing flyers, promotions, and annual goals for this fundraiser

  • Orders and distributes physical gift cards not purchased through the Raise Right website

  • Provide quarterly updates in the Tiger Tale about purchases made by faculty from their scrip accounts.

  • Attends all Organization and Executive Board meetings

Ways and Means Chair​​

  • ​Oversee all fundraising activities

  • Propose fundraising activities to PFO with a focus on raising the amount of funds needed to meet the PFO’s budget

  • Plan and organize fundraising activities

  • Attends all Organization and Executive Board meetings

Room Representative Coordinator​​​

  • ​Assist in recruiting at least one (1) Room Representative (Room Rep) for each classroom

  • Manage communication with all assigned Room Reps via email

  • Oversee Room Rep tasks (Fall Festival sign-ups, Teacher Appreciation Day contributions, School Auction classroom assignments, and Classroom PFO engagement).

  • Collaborate and communicate with other Room Representatives on the Executive Board

  • Act as a liaison between the PFO Executive Board, school staff, and the Room Reps

  • Attends all Organization and Executive Board meetings

Committee Chair Positions (Roles and Responsibilities)

​​​​​

​Currently there are five (5) committee chair positions. Committee Chairs contribute to the activities and overall success of the Organization. The chairpersons of the committees are appointed by the President and serve on the Committee for one year. 

A nomination ballot will be sent electronically to solicit nominations. Following the election of the Executive Board officers, the Committee Chair Positions will be selected to serve.​

Membership Chair​​

  • Organize an annual PFO membership drive and promote PFO membership throughout the year

  • Maintain a current list of memberships

  • Attends all Organization and Executive Board meetings

​​​​

Hospitality Chair​​​​

  • Coordinate annual faculty luncheon

  • Provide snacks for general meetings and Lunch with a Loved One Event

  • Purchase gifts as the Executive Board deems necessary

  • Attends all Organization and Executive Board meetings

​​​​

Merchandise Chair​​​

  • Oversee all merchandise activities and sales

  • Advertise and sell current merchandise at school events

  • Track merchandise sales

  • Create or order new merchandise, as needed

  • Keep an inventory of available merchandise

  • Attends all Organization and Executive Board meetings

Volunteer Coordinator/Chair​​​

  • Identify volunteers and support needed for special events

  • Coordinate volunteers for special events

  • Ensure all volunteers are cleared and fingerprinted with the San Juan Unified School District

  • Attends all Organization and Executive Board meetings

​​​

Technology Chair​​​

  • Oversee and maintain the Dewey PFO website

  • Ensure event, fundraising and other updates are posted to the PFO website

  • Post meeting minutes to PFO website

  • Ensure website contents and text are in an accessible (ADA) format for all site visitors

  • Attends all Organization and Executive Board meetings​

Communications Chair​​​

  • Work directly with the President in writing weekly newsletter to provide families with updates on events and current happenings with the Dewey PFO

  • Update social media channels with important information, events, and updates received from other Chairs.

  • Attends all Organization and Executive Board meetings
